Logistics Letter for MCX'19 Participants

Thank you all for registering for the 3rd MCX training workshop. We are excited and look forward to meeting you in Boston!

In this document, we would like to provide some additional information to help you plan your trip.

1. Local transportation

If you take a flight to Boston, you have several options to get to the on-campus apartment.

If you take a Uber or taxi, please ask the driver to set GPS to 460 Parker Street, Boston. The building name is "West Village B suite".

Another convenient way to get to Northeastern University (NU) campus is to take the subway (i.e. the "T"). There is a Blue-line subway station at the Logan airport. Once you get out of the terminal, you can get on a free airport shuttle, ask the driver if that shuttle stops by the blue-line subway station. Once you arrive at the subway station, you can buy a ticket for a single trip or a CharlieCard for multiple trips (at a cheaper rate). In the subway station, get on the "Inbound" train to Bowdoin. You get off the blue-line train at the "Government Center" station, and transfer to the Green E-line, then get off at the "Museum of Fine Art" or "Northeastern University" Stations. You should only walk for a few minutes to arrive at the West Village B suite (460 Parker Street) to check in.

If you drive, parking in Boston area is generally challenging. Please plan ahead and make sure you have identified a place to park your car during the event. To participate the workshop, the closest public parking garage is the Renaissance parking garage at 835 Columbus Ave, Boston.

2. Lodging

If you have requested housing for the event, you will be staying at the "West Village B" suite (460 Parker Street), which is about 10 min walking distance to the ISEC building, here is the google map.

2.1. Lodging cost

If you are a student with our travel award, we will cover your on-campus lodging cost.

If you had selected the on-campus housing and is willing to pay for your own cost, please bring a personal check with you (alternatively, we will send out a paypal account so you can make payment during/after the stay). During the workshop, we will include instructions how to submit your payment. The on-campus housing rate for a single-occupancy apartment is $90 per night; for double-occupancy apartment, the cost is $65 per person per night of stay.

All guests must check out no later than the noon of Aug. 10, because that is is the last day of the summer housing program.

2.2. Check-in hours

When you arrive at West Village B (address: 460 Parker Street), please let the front desk know that you are there to check in. If you arrive during the standard hours (2-5PM) on Aug. 7 to check-in, the front desk staff will let you into the building where our staff will meet you. If you arrive outside of these hours, the front desk will call our staff to respond and check you in, there may just be a slightly longer (5-10 min) wait before they are able to get their card depending on staff availability. 2.3. Complementary Wifi

Complementary Wifi will be provided at the apartment that you will be staying. A unique username/password will be sent to you to your registered email address before the event. In addition, Northeastern University campus-wide wifi network also supports "Eduroam". It is very likely that your current institution also support Eduroam. Please register an account before your travel, so that you can use your account on NU campus.

2.4. Optional emergency alert system

The university also offers access to its emergency alert system so that in the event of a city or campus emergency, participants are able to receive relevant information immediately. Participants are welcome to subscribe to this service using the below link: https://nuconferences.bbcportal.com (select Summer 2019 Events group).

3. Badge and training materials

If you plan to arrive earlier on Aug. 7, you can obtain your badge at a reception desk at ISEC RM 232 (before 7:30 PM). Otherwise, you can get your badge and training instructions, along with a USB flash drive, in the morning of Aug. 8. We will have a reception desk right outside of ISEC RM 138, where the event will be held.

4. Students with travel award

Congratulations to the students who have won the travel awards! Please pay for the travel cost first and then submit a reimbursement form and get reimbursed after the event. Please keep all receipts and attach those with your reimbursement form. We have allocated up to $500 for each selected student.

5. Posters

The posters will be set up on the walls in the same room as the workshop (ISEC 138) on the 2nd day of the workshop, i.e. Aug. 9. If you are presenting a poster, please bring your printed poster to the workshop classroom on Aug. 9. We will distribute you magnets or putty to hang the poster on the whiteboard or glass doors.

You may set up the poster any time before the afternoon session starts. You need to remove the poster before you leave the workshop at the end of the day. The poster session is between 2:30-4:30 PM on Aug. 9.

6. Breakfast and lunch

The breakfast and (bagged) lunch are provided, on both Aug. 8 and 9, at the cafeteria area (Caffe Strega) inside the ISEC Atrium, across the atrium from the classroom.

Due to school policies, you can not bring your food, including coffee, to the classroom. Please use the seating area around Caffe Strega for your breakfast and lunch. We will provide some bottled water during the day.

7. Workshop dinner

On Aug. 8, between 6:30-8PM, we have a workshop dinner/gathering at the Faculty Club (6th floor, 716 Columbus Ave) right across the street from ISEC. Tentatively, the wetbar will be open at 6:30PM, and buffet styled dinner will be ready at 7:00 PM.

8. Meeting with MCX developers

If you have submitted a request for meeting with the developers, you will receive a separate email before the workshop to confirm the time and location of the meeting.
